# Members and teams

> Invite people to a Shared Space, organize them into teams, and understand how roles, team leaders and per-document permissions fit together.

A Shared Space brings together people from **different organizations**, and some who belong to none. Membership of a space is therefore separate from membership of your Casa Conect organization. Being invited to a space gives someone access to that space, and to nothing else of yours.

## Teams

Members are organized into **teams**, which you name to suit the transaction: *Buyers*, *Sellers*, *Buyer's lawyers*, *Notary*, *Bank*. Teams are how access is normally granted. Give the *Sellers* team editor access to the seller's documents and everyone in that team has it, including people who join later.

A member can be moved to another team. Their access, and any [share links](/shared-spaces/share-links) they created, are re-evaluated for the new team.

## Roles

| Role                                            | Can                                                                                                   |
| :---------------------------------------------- | :---------------------------------------------------------------------------------------------------- |
| **Member** | Take part, within the access their team or they personally have been given |
| **Admin** | Everything a member can, plus manage members and teams, change roles, hide tabs, and delete the space |
| **Team leader**, a flag in addition to the role | Create and reorder [Summary](/shared-spaces/summary) categories and fields, alongside admins |

A space must always have an admin: *"Cannot demote the last admin. Promote another member first."* An admin who leaves chooses a **new admin** first.

## How access fits together

Seeing something in a space takes more than being a member of it.

| Layer                                             | Decides                                                      |
| :------------------------------------------------ | :----------------------------------------------------------- |
| **Membership** of the space | Whether you can open the space at all |
| **Section** restricted to a team | Whether you see that section of the document checklist |
| **Document type** access: viewer, editor or owner | Whether you see, and can upload, each document |
| **Summary category** access: viewer or editor | Whether you see, and can edit, each group of facts |
| **Access to the source document** | Whether you can see a summary value that was derived from it |

Access is granted to a **team** or to an **individual**, at **viewer** or **editor** level. See [Documents](/shared-spaces/documents#who-can-see-and-do-what) and [Summary](/shared-spaces/summary#access).

## Invite someone

<Steps>
  <Step title="Add them to a team">
    Enter their name and email address, choose their team and their role.
  </Step>

  <Step title="Choose the language and add a message">
    Pick the **email language**, English or Spanish, and edit the message if you wish. The default reads *"Hello, I'd like to invite you to collaborate on our shared space…"*
  </Step>

  <Step title="They accept">
    They receive an email. If they have no Casa Conect account, they are shown as a placeholder member until they create one with **Create Your Account**. Their account is then linked to the place you made for them, with its access already set up.
  </Step>
</Steps>

Invitations are **pending** until they are **accepted** or **declined**. People see their pending invitations on their home screen and during sign-up.

<Tip>
  You can prepare a space completely before anyone joins, with teams, documents and access all in place, by adding people as placeholder members. When they accept, everything is ready for them.
</Tip>

## Remove someone, or leave

Two safeguards stop a space from becoming unmanageable:

* **The only editor of a summary category** cannot be removed, or leave, until they **transfer editor access** to someone else.
* **The last admin** cannot be demoted, and must choose a new admin before leaving.

When a member leaves, or their access is reduced, any share links they created that now exceed their access are **revoked automatically**.

## Someone who needs no account

For a party who only has to answer a few questions, upload one document or vote on a date, a [share link](/shared-spaces/share-links) is simpler than an invitation. It gives them a secure page with exactly what you chose, and no account to create.
